Availability and Scheduling

How Calendox calculates booking availability — free/busy across all connected calendars, weekly hours, date overrides, buffers, notice, and caps.

Calendox offers a time slot only when it falls inside your weekly hours and no connected calendar shows busy time there, after applying your buffers, minimum notice, booking window, and per-day/per-week caps. All of this is computed on Calendox servers — bookers only ever see the resulting open slots, never your calendar contents.

How is availability calculated?

For every candidate slot, Calendox checks free/busy information across your connected calendars from both providers — Google Calendar and Microsoft Outlook. If busy time overlaps the slot (including your buffers), the slot is hidden. Only free/busy status is used: event titles, descriptions, and attendees are never read into your booking page or exposed to bookers.

Under Calendars → Conflict checking you choose the scope:

  • Check all connected calendars (default) — every calendar you've connected blocks availability, with no per-calendar cap.
  • Check specific calendars only — pick exactly which calendars block availability.

Existing bookings on the page also block their slot, so double-booking through your own page isn't possible.

Weekly hours

Under Schedule, set the hours bookers can pick from for each day of the week. Each day supports multiple time windows — for example 09:00–12:00 and 14:00–17:00. Hours are defined in the page's Timezone; bookers see slots converted to their own timezone automatically.

Date overrides

Date overrides change a single date without touching your weekly pattern:

  • Unavailable all day — block the date entirely (holidays, travel).
  • Custom hours — replace that date's windows with different ones, again with multiple windows per day.

Buffers

Buffer before (minutes) and Buffer after (minutes) add protected time around every booking — up to 4 hours each. A 30-minute meeting with a 15-minute buffer after it blocks the following 15 minutes from being offered.

Minimum notice

Minimum notice (minutes) hides slots that start too soon — up to 2 weeks ahead. With a 120-minute notice (the default), a slot starting in one hour is never offered.

Booking window

Booking window (days) limits how far into the future bookings are accepted, from 1 to 365 days. The default is 60 days. Bookers can't see or book anything beyond the window.

Slot increments

Slot increment controls how often slot start times are offered — from every 5 minutes to every 2 hours. With a 30-minute increment, start times are offered every 30 minutes counted from the start of each availability window, regardless of the meeting duration.

Daily and weekly caps

Max bookings per day and Max bookings per week cap how many bookings the page accepts in total per day and per week. Once a cap is reached, the remaining slots in that day or week disappear automatically — a straightforward way to protect deep-work time that most scheduling tools don't offer. Leave either field empty for no limit.

Multiple durations

A page can offer up to 4 meeting durations (any length from 5 to 480 minutes). The booker picks one on the public page, and slots are recalculated for that duration — a 60-minute slot list looks different from a 15-minute one.
