Creating and Editing Events
How to create and edit events in the Calendox Unified Calendar — quick compose, attendees, reminders, one-click meeting links, and recurring series.
You can create an event in the Unified Calendar with one click on the grid, the N key, or the Add Event button — and every event is written straight to the Google or Outlook calendar you choose, so it appears everywhere that calendar does. Editing works the same way in reverse, including Outlook-style scope choices for recurring series.
How do I create an event?
| Entry point | What you get |
|---|---|
| Add Event button (or press N) | The full editor, starting at the next full hour with a 1-hour duration |
| Click a time slot (Day/Work week/Week) | Quick compose at the clicked slot, 1-hour duration |
| Drag across time slots | Quick compose covering exactly the range you painted |
| Click a day cell (Month/Year) | Quick compose with All day pre-checked |
Quick compose is a compact popup with a title box (press Enter to save immediately), the date and time, a calendar picker, and a switch that adds a Google Meet meeting or Teams meeting link, matching the calendar's provider. Click More options to escalate to the full editor — everything you've already entered carries over.
Choosing the target calendar
The calendar picker in the editor's toolbar decides where the event is created. Only writable calendars are offered, and your default calendar is preselected when you've set one. Moving an existing event to a different calendar isn't supported yet — the picker is locked when editing.
What can an event include?
The full editor covers the complete field set:
- Title and Description
- Attendees — email addresses, invited through the provider (see below)
- Date and time — start, an end dropdown with duration presets plus Custom, an All day toggle, a Recurring toggle, and a timezone picker. Moving the start keeps the duration.
- Location — free text
- Meeting — a one-click meeting link (see below)
The editor toolbar adds three provider-backed options:
- Show as — Free or Busy; Microsoft calendars additionally offer Tentative, Away / Out of office, and Working elsewhere (Google only stores free/busy, so those options appear for Microsoft calendars only).
- Reminder — Calendar default, No reminder, or a fixed time from At start up to 1 day before.
- Private — hides the event's details in shared views.
How do meeting links work?
Pick a provider under Meeting and the link is generated with the event — no copy-pasting:
| Option | Available when |
|---|---|
| Google Meet | The target is a Google calendar, or you've connected the Google Meet meeting app |
| Microsoft Teams | The target is a Microsoft work or school calendar, or you've connected the Teams meeting app |
| Zoom | You've connected Zoom — works with any calendar |
Options your target calendar can't support are grayed out with a Not connected hint, and available options show which account will host the meeting. Once saved, the event shows a Join button in the editor and in the event popup.
Inviting attendees
Add email addresses under Attendees and the invitation is sent by your calendar provider — the Save button becomes Send, just like Outlook. When you add attendees to an existing meeting, Calendox asks whether to notify only the added or removed attendees or everyone.
When you're the invitee rather than the organizer, the editor switches to attendee mode: an RSVP control (Accepted, Tentative, Declined), reply-by-email shortcuts, and the ability to adjust your own copy's Reminder and Show as — but not the meeting time.
How do recurring events work?
Turn on Recurring in the date panel to build a series. The inline editor speaks plain language — no provider jargon:
- Repeat every N day / week / month / year
- Weekly: pick the weekdays with day chips
- Monthly and yearly: repeat on a fixed date (day 15) or a relative position (the first Monday)
- End: never, on a date, or after a number of occurrences
A summary line ("Occurs every Monday from 11:00 to 11:30 …") confirms the pattern before you save. All day and Recurring are independent, so all-day series work fine. A single event can also be converted into a series later by editing it and turning Recurring on.
Editing one event vs. the whole series
Editing or deleting an occurrence of a series offers the three Outlook scopes — from the event popup, the right-click menu, or the Event / Series switcher in the editor toolbar:
| Scope | Affects |
|---|---|
| This event | Only the clicked occurrence — it becomes an exception, marked with a slashed repeat icon |
| This and following events | The clicked occurrence and everything after it |
| All events in the series | Every occurrence |
Changing the recurrence pattern itself is done in series scope — Edit series pre-fills the series' own pattern and times.
Moving events with drag and drop
- Drag an event to another slot or day to move it — the duration is kept.
- Resize an event's edge in the time-grid views to change its duration.
- Right-click an event for Edit, Duplicate, and Delete, with the same series scopes.
- Prefer a confirmation step? Turn on Show confirmation dialog on event drop in the calendar settings.
Duplicate (also in the editor toolbar) opens a pre-filled draft of the clicked event as a new single event — nothing is saved until you save it.
Synced copies are read-only
Events that a sync created in this calendar (clones) can't be edited, deleted, duplicated, or dragged here — any change would be overwritten by the next update from the source calendar. Edit the original event instead; the copy follows automatically.
Troubleshooting
- A meeting option is grayed out with "Not connected". The target calendar's provider can't create that link natively — connect the app under Meeting apps, or switch the target calendar.
- Microsoft Teams is unavailable on a personal Microsoft calendar. Personal accounts (outlook.com, hotmail.com, live.com) can't create Teams links natively — a Microsoft platform limitation. Connect the Teams meeting app or use Zoom.
- A calendar is missing from the calendar picker. Read-only calendars can't be a create target — only calendars you can write to are offered.
- The Recurring toggle is disabled. You're editing a single occurrence of a series — switch to Series in the editor toolbar to change the pattern.
- An event won't drag or edit. It's a synced copy — edit the original in its source calendar instead.
